Job Description



Administrative Assistant

Under the direction of the Chief Nursing Officer, performs a variety of administrative, staff support, and clerical functions, which require a range of skills and knowledge of organizational policies and procedures. Assists and directs nursing staff with administrative problems and inquiries; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents.



Job Responsibilities/Duties

  • Schedules meetings, sends notices, attends meetings and issues minutes as required.
  • Assists in public relations functions as assigned.
  • Maintains an open line of communication between the hospitals and Corporate Office.
  • Responsible for reading and maintaining an awareness of all hospital and Corporate Policies and Procedures.
  • Serves on various committees as directed by Administrator.  Assists with special events planning.
  • Represents the facility at and participates in top level meetings as directed.
  • Performs administrative responsibilities on a daily basis.
  • Schedules travel and other accommodations for hospital Administrator, management team, department managers and hospital employees.
  • Attends Department Managers meetings; records and disseminates minutes.
  • Interfaces with Medical Staff and other members of administrative team and department managers to serve as a liaison for hospital Administrator, when necessary.
  • Has a working knowledge of Medical Staff Services/committee activities; assumes Medical Staff Secretary responsibilities in his/her absence.
  • Demonstrates good verbal and non-verbal communication skills.
  • Provides a safe environment for patients, visitors, and staff.
  • Operates personal computer to access e-mail, electronic calendars, and other basis office support software.  Uses various software applications, such as spreadsheets, relational databases, and graphics packages to assemble, manipulate and/or format data and/or reports.


Qualifications

Minimum Education: High school diploma or GED required. Two (2) years of college or equivalent work experience preferred.  

Minimum Experience: Minimum of one (1) year experience in Nursing Administration work in an acute care setting is desirable. Excellent organizational skills.  Strong computer and word processing skills required.  Ability to maintain confidentiality.
